Client Application Process


The diagram below covers 6 key stages. Each stage has different processes to follow. When you come to stage 4, you need to follow the correct one as each process under stage 4 is different if applying to enter or remain in the UK. If you authorised our firm to process your naturalisation/passport application, these processes are additional to follow. Client Visa Application Process

Client Visa Application Process

Application Process Guidance


  1. The PCCL allows the client to register core information about themselves to enter or remain in the UK. If the client requires a family to enter or remain in the UK, those family members must complete their own PCCL form and upload their documents.
  2. The CCL is an email sent to the client outlining how we will represent them plus our set fee invoice. The client is then required to go to our website and accept our business terms and CCL that authorises our firm to represent the client.
  3. The client will pay their invoice and our firm will confirm payment received.
  4. The client account becomes active when the client authorises our firm and pays their invoice.
  5. By adding our OISC registration number, the Home Office are aware a regulated UK law firm is processing the application and regulated by UK law to provide advice and services.
  6. Immigration Health Surcharge is a fee the client must pay for UK health services, but certain visa applications are exempt from paying this fee. If this fee must be paid, it is paid prior to paying the visa fee. Our firm helps the client to make this online payment.
  7. The CP is a business partner the Home Office works with to help bridge the client to the Home Office by collecting the client’s biometric data and their application support documents.
  8. Biometrics appointment can be a free and chargeable service. Our firm tries to secure free slots. Some CPs are either closed or operating a limited service which could be related to Covid-19, issues in countries such as Ukraine.
  9. Our firm prepares the client visa letter outlining who the client is, why they are applying to enter or remain in the UK, rules they are applying under and documents submitting.
  10. Our firm will confirm to the client by email what documents have been uploaded to the CP portal with screen shots and provide a link for the client to login and see the evidence.
  11. Our firm will explain the CP process, what to do and once the client attends, the CP will alert our firm by email that their application was submitted to the Home Office.
  12. If the Home Office wishes to clarify any data, or request additional evidence, our firm will consult the client and update the Home Office.
  13. If the client is applying under Leave to Enter, the email will not state a visa outcome but if applying under Leave to Remain, it will. Note: Once the client collects their passport from the overseas CP, only then will they know if their visa was approved, rejected or refused.
  14. This only impact Leave to Enter visa applications. If the client paid for a courier service, then their passport will be delivered to their overseas address but if the courier service is not paid for, the client must collect their passport from the CP location.
  15. If applying under Leave to Enter, visa letters are only issued for visas 6 months and over. This means certain visa types like visitor visas no letter will be issued.
  16. Whether the client visa is approved or refused, our firm will explain the outcome. If approved the client closed letter goes more into detail but if the application is refused, the client needs to know their options open to them. If the client application is refused, the process the client is reading stops here.
  17. If the client is applying under Leave to Remain (excluding naturalisation applications), our firm receives email notifications that the clients new BRP has been issued and dispatched to their home address.
  18. The client is required to go to the courier website (instructions provided) and book a new delivery date.
  19. If the client visa is under Leave to Enter, the Post Office address where to collect the BRP card is on the UKVI checklist PDF our firm emailed the client plus on the visa approval letter.
  20. The client must check their name on the BRP card is correct and ensure their BRP expiry date is also correct.
  21. Our firm will provide for the client a closed letter outlining the application and the process.
  22. If the naturalization application is approved, the client will receive via our firm a copy of the letter to register for their ceremony to give oath to the Queen.
  23. This process will continue until the client is happy their passport application is ready to be submitted.
  24. Once the passport application is submitted, our firm will add in the client referee details and send a link to the referee to confirm online that they know the client.
